Team Space

SpaceView Team Space is a visual planning tool that lets space planners create teams highlights on their organization's floorplans. These teams are independent from departments, divisions, and business units.

The Team Space feature is split into three major tracking features or modules:

  • Search
  • Update
  • Scenarios

Search

Team Space Search will display all Teams that have been created in the module on a floorplan and allow users to search for specific Teams. A record with count will be displayed for each floor that the team is assigned to.

To search for a team, users will enter any criteria of the team they wish to find, such as:

  • Team name
  • Description
  • Building
  • Floor
  • Contact
  • Room count

Actions

There are several actions that can be taken for Teams with the "Actions" drop-down.

Floorplan

This displays a floorplan with the rooms assigned to the selected team highlighted with the designated color.

Team Summary

This displays the basic information for the team:

  • Team name
  • Description
  • Contact
  • Highlight color

Team Edit

This allows users with permissions (users belonging to the admin security group) to edit the basic team information detailed in Team Summary:

  • Team name
  • Description
  • Contact
  • Highlight color

Create a New Team Space

Users with permissions (users belonging to the admin security group) may create new Team Spaces. To do so:

  1. Click the "New Team Space" button.
  2. Fill in the required information.
    • Team
    • Description
    • Team Contact - This field references employee data, but does not require that the contact be in employee within the organization.
  3. Choose a highlight color.
  4. Click "Save".
  5. To assign room locations to the team, enter the "Update" tab and follow the steps on the next section.

Update

The Update feature allows users with permissions (members of the admin security group) to update the room locations assigned to the selected team. To do so:

  1. Search for the team to be updated by entering location data: building and floor.
  2. Click "Show Floor".
  3. A floorplan will appear with all the teams on that floor highlighted according to the designated color.
  4. Select the team to be updated from the "Active Team" drop-down.
  5. Click on the rooms on the floorplan to be added to the team. The room will change color to the active team's highlight.
  6. To select more than one room at a time, toggle the "Select Multiple Romm's" toggle to "on".
  7. To unassign a room from a team, select "Remove Team" from the "Active Team" drop-down and click on the rooms to be unassigned.

Scenarios

Scenarios allows users to plan for potential teams without displaying these test scenarios on the floorplans the rest of the organization will see.

Create a New Scenario

  1. Click "Create New Scenario".
  2. Enter the required information:
    • scenario code
    • description
    • clone scenario from - this button allows users to duplicate an already existing scenario so they can change the scenario and view differnet configurations without changing the original scenario. This can be left as "Blank" if the new scenario is not based off of another.
  3. Click "Save".

Assign Room Locations to a Newly Created Scenario

To assign room locations to a newly created scenario and view these on a floorplan, users must first create a new team in Team Space, then enter the "Scenarios" tab and assign room locations on the floorplans in that tab.

  1. Create a new team in Team Space.
  2. Enter the "Scenarios" tab.
  3. Select the scenario to have locations assigned to it.
  4. In the "Add Team Assignments" search, enter the building and floor of the location to be assigned to the scenario.
  5. In the "Active Team" drop-down, select the new team that was created in step one.
  6. Click on the rooms to be assigned, or toggle "Select Multiple Rooms" to "on" and use the cross hatches to assign rooms to the scenario

Publish a Scenario to Team Space

To change a scenario from a scenario to an actual team that other users can see on the Team Space floorplans, click on the "Overwrite Production with Scenario" button. A dialogue box will appear, asking if this is the change that should be made. Accept or decline as needed.

Team Space Highlights

Users can view the created teams as highlights in SpaceView's Maps and Floorplans feature. There are two highlights available: Team Space, and Team Space with Contact.

The team space view displays these teams on the floorplan. Teams can be edited by users with access to the Team Space Module in SpaceView.

This highlight shows the Team Space groups and the team/project lead contact.
